In large companies, thousands of meetings are held every week to manage teams and projects effectively and efficiently. Increasing effectiveness, safety and efficiency is a clear business case.
In the energy sector, we were able to implement the concepts for an enterprise meeting management portal that supports the process of planning, conducting and tracking individual meetings and meeting series via configurable templates.
The template concept allows administrators to use specialized modules in meeting templates, such as agenda planning, satisfaction analyses, task boards or integration with legacy systems, e.g. to be able to use key figures from connected systems directly in the meeting.
Users can find their meetings directly in the portal and in the Outlook calendar; all interaction options for the relevant meeting are then available in the Meetin rooms in the portal.
At the time the concept was developed, Microsoft Teams did not yet exist. From today's perspective, many of the components that we conceptualized and piloted back then are available in MS Teams.
However, we do not see the concrete technical implementation as decisive, but rather the experiences and findings from the organizational transformation, which must be mastered in organizations regardless of the chosen technology.
